To judge behavior, you will be evaluating what has occurred, in terms of right or wrong. You need to avoid the use of evaluative language and in doing so, you will reduce the chances of an individual getting defensive.
Focus on observation instead of inference
When we talk about observation, it is what you can see or hear about one’s behavior. while inference refers to assumptions and interpretations that you make from what you can see or hear. You should never assign meaning or intention to someone’s actions until that point you have had a chance to hear them out. Present issues on things you have observed and allow people to explain their perspectives.
Balance the positive and the negative
when giving constructive feedback, it is important to ensure you are presenting a well-balanced perspective. This should also be the case when it comes to negative feedback. Create a balance by pointing out the positives, then talk about the negatives that need to be worked on.
At the heart of giving constructive feedback is being specific about what you want to put across. For example, you should not tell someone that their work needs improvement, without being specific to the key details that need to be improved. Ensure there is clarity in what you are talking about, and that people will not have two ways of interpreting your message.
Have a face to face conversation
When possible, it is always advisable to have a face to face conversation with someone. It would be better than having a video call, talking over the phone, or sending them emails. These forms of communication may work, but eliminate one of the best modes of communication, which is the use of body language and emotional inflection. It can be very easy to read negativity in an otherwise neutral statement.
